communicationCommunication within the company is a matter of course, even though its role is usually underestimated. Theoretically, we all communicate: we talk in person, over the phone or via Skype; send text messages and e-mails, write reports; communicate through the body and spatial organization. The very fact of its existence, however, is not enough. Practice proves that only the efficient flow of information and systematic communication allow you to create a company that functions effectively. For an organization to function properly, it is important that the flow of information takes place from both the „top-down” and „bottom up”. Managers are expected to pass on to employees a clear, specific objectives and inform them about the strategies and plans of the company, the existing rules of conduct, expectations from them, and an evaluation of their work. While subordinates should provide their supervisor not only with data on the level of performance, but also inform them about emerging problems and their needs. This is possible when employees have confidence that their messages are heard and taken into account in the activities of the company. Caring for effective communication is one of the most important tasks of the HR department. For communication, you can use different channels:
  • e-mail,
  • company’s magazine,
  • information boards,
  • Intranet,
  • presentations or
  • a more or less formal meetings.
If you are responsible for communication in your company, it is your task to speak the language of the benefit to be able to convince the Board and the rest of the leadership that they not only make it possible to use different forms of communication, but they do it by themselves. Then you should convince the employees, that instead of keeping important information for themselves, they transmit them to those who need them. However, an extensive network of Intranet, modern equipment for teleconferencing or company newsletter with stunning visual impact won?t work efficiently, if only a few people will benefit from them. All in all, the greatest effectiveness has direct communication, namely meetings with employees and talking with them. This applies to all managers. Instead of sitting in your room, and overwhelming employees by emails with information, instructions or suggestions, you should from time to time walk around the office and talk to them face to face. In a few minutes, on office corridor or while preparing a meal in the kitchen, you can learn a lot about the functioning of the company or emerging issues, and strengthen interpersonal relationships. What are the benefits of doing so? Firstly, you could perceive the difficulties and response to them sooner. Secondly, you should be more effective in enforcement requests addressed to employees in the future. Photo credit: little*star / Foter / CC BY-ND
